File Naming Rules: How to Name Files, FinalPlace Helps Identify Every File

Open a folder, see a list of filenames:

  • New Document.docx
  • New Document (1).docx
  • Final Version.docx
  • Final Version (2).docx
  • Really Final Version.docx

Nobody can look at this list and laugh. Because we’ve all done the same thing.

Unclear filenames mean: every time you need a file, you spend time recalling “which version is this” and “is this the one I need.”

A good filename should answer:

  1. What is this file about?
  2. What type is it?
  3. When was it created/modified?

Standard format:

ProjectName_Type_YYYYMMDD.ext

Examples:

Q1Report_Sales_20260315.docx WebsiteDesign_Homepage_v2_20260320.fig Contract_ClientA_20260301.pdf

  1. Searchable: Find by project name
  2. Organized: Grouped by type
  3. Version-clear: Date tells you which is newest
  4. Automatic: FinalPlace can auto-rename based on rules

FinalPlace can automatically rename files when organizing:

  • Add project name from folder context
  • Add date from file metadata
  • Standardize type descriptions

Rule example:

When moving: rename to “ProjectName_Type_Date.ext”

  • Find files instantly
  • No more “which version”
  • Clear project boundaries
  • Automatic with FinalPlace

FinalPlace - let every file find its correct home.
