File Naming Rules: How to Name Files — FinalPlace Helps You Identify Every File at a Glance

Illustration

Open a folder and see a list of filenames:

  • New Document.docx
  • New Document (1).docx
  • Final Version.docx
  • Final Version (2).docx
  • Really Final Version.docx

Nobody can look at this list and laugh. Because we’ve all done the same thing.

Unclear filenames mean: every time you need a file, you have to spend time recalling “which version is this” and “is this the one I need.”

Using the wrong version can lead to rework, revisions, and wasted time.

A good naming rule should let someone instantly determine: what file is this, and what stage is it in? Common formats to reference:

  • Date + Project + Description: 20260408_FinalPlace_WebsiteArticle_Draft.docx
  • Version number: FinalPlace_UserGuide_v2.1.pdf
  • Status markers: ContractDraft_PendingApproval.docx → ContractDraft_Approved.docx

Key principle: A filename should answer “what is this” and “what state is it in” — that’s enough.

FinalPlace: Set Rules Once, Never Worry About Naming Again

Part of the reason for file naming chaos is improper file placement: things get随手一放 (dumped随手一放) first, and only organized and named later.

FinalPlace solves the root problem of “dumping files随手一放” — files are automatically sorted into correct project folders the moment they land. Files are already where they should be. You only need to give them a clear name.

FinalPlace doesn’t name files for you, but it eliminates the first question that naming needs to solve: “Where should I put this?” Since that problem no longer exists, the clarity of names naturally improves.

File Naming Is Leaving a Waymark for Your Future Self

A good filename is like a signpost — see the filename, know whether to open it.

Establish your own naming rules, combined with FinalPlace’s auto-organization, and file management goes from chaotic to clear. Every file has its correct home, and every name clearly states what it is.
