File Organization for Beginners: Start with 3 Habits

I know you’ve heard many file management suggestions:

Use good naming conventions, build clear folder structures, organize regularly…

These are all correct. But the problem is - changing habits goes against human nature.

So I’m not going to tell you 10 tips to execute starting tomorrow.

I only give you 3. Pick one, do it for a week.

Downloads is the messiest place on your computer, no question.

Why Downloads?

  • Most files enter your computer through here
  • Default location for browsers, WeChat, email attachments
  • If you don’t process them, they pile up forever

How to do it:

  • At end of each day, spend 2 minutes
  • Move needed files to proper locations
  • Delete unnecessary files
  • Keep Downloads folder empty

The key: Make it a routine, not an event.

Every open file is potential clutter.

The rule: After using a file, close it and decide: Keep where it is, or move it?

Why this works:

  • Reduces visual clutter
  • Forces decision at moment of use
  • Prevents accumulation

The moment of saving is the best time to name.

Good naming = Project + Type + Date

Example: Q1Report_Sales_20260315.docx

  • Know file content without opening
